Certinia—formerly FinancialForce—builds professional-services automation, accounting, and related business applications on the Salesforce platform. Its current certification program is designed for professionals who implement or maintain Certinia environments, with role-based credentials for implementation consultants and system administrators across major Certinia solutions. The program is developed with customer and partner subject-matter experts and focuses on practical deployment and ongoing administration.
A directly related exam is PSA Sysadmin exam. Certinia's Training Center remains the authority for live exam availability and prerequisites.
Certinia's current certification page distinguishes implementation-consultant work from sysadmin work. Implementation consultants need to understand requirements, solution design, configuration, data, security, testing, migration, deployment, and adoption. Sysadmins maintain the environment after go-live: users, permissions, configuration, releases, integrations, data quality, troubleshooting, and operational support.
These roles overlap but should not be blurred. A consultant may build the initial PSA setup while an internal administrator later owns resource data, project templates, utilization settings, billing configuration, and security. Certification preparation should reflect the actual job role rather than memorizing every feature equally.
Professional Services Automation is designed to help service organizations manage project delivery and the economics around it. Core concepts include opportunities or engagements, projects, staffing, skills, resources, schedules, time, expenses, utilization, milestones, billing, forecasting, and revenue-related operational data.
A candidate should understand the lifecycle from demand to delivery. A new engagement creates work, resources are matched, the project is scheduled, time and expenses are captured, managers monitor delivery and margin, and billing or downstream finance processes consume project data. Poor configuration at one stage can distort later reporting.
For example, utilization calculations depend on calendars, resource status, credited hours, and policy. A dashboard cannot compensate for inconsistent resource setup or missing time.
Forecasting depends on the quality of staffing and project data. A services leader may use scheduled hours, remaining work, rates, milestones, probability, and historical performance to project revenue, margin, or resource demand. If project teams do not maintain dates and estimates, a sophisticated forecast engine will simply automate stale assumptions.
Capacity planning should distinguish availability from suitability. A consultant may have free hours but lack the required skill, location, language, clearance, or seniority. Resource management therefore combines calendars with skills and business constraints rather than assigning the first person with open time.
Certinia configuration is easier when the business process is clear first. Consultants should document how projects are created, who approves them, how resources are requested and assigned, which time rules apply, how milestones drive billing, what data flows to accounting, and which exceptions require manual review.
Do not recreate every spreadsheet workaround inside the system. Ask which old steps existed because of previous tool limitations and which represent genuine control requirements. Digital transformation should simplify the operating model where possible.
Configuration decisions should be traceable to requirements. If a field, permission, automation, or custom object exists, someone should be able to explain the business need it serves.
Because Certinia runs on Salesforce, administrators and consultants need foundational Salesforce concepts: objects, fields, relationships, profiles or permission structures, roles, sharing, reports, dashboards, flows or automation, sandboxes, deployments, and integration patterns. Certinia adds its own data model and business logic on top of that platform.
This creates a layered troubleshooting approach. A user problem may come from Salesforce access, Certinia configuration, custom automation, data, integration, or a release. Determine the layer before changing settings. A permission issue should not be “fixed” by modifying project logic, and a business-rule error should not be treated as a platform outage.
PSA and accounting systems can contain customer, employee, project, rate, revenue, cost, and financial information. Access should therefore be based on role and business need. Administrators should understand permission sets, sharing, object and field access, record visibility, and how Certinia's own security model interacts with Salesforce.
Test with realistic personas. A project manager, resource manager, consultant, finance user, executive, integration user, and system administrator need different capabilities. Validate both positive and negative access: users should be able to complete their work and should be unable to see or change data outside their responsibility.
Privileged access should be reviewed periodically, especially after organizational changes or partner implementation work.
Integration users and automated processes need the same access discipline as human users. A service account with broad permissions can bypass carefully designed user roles. Give integrations only the objects, fields, and operations required for their function, then monitor their use.
Implementations often migrate customers, projects, resources, rates, balances, time, billing history, or configuration from legacy systems. Migration should define source ownership, transformation rules, required fields, reference data, duplicate handling, reconciliation, and cutover timing.
Do not load bad data faster. Profile the source before migration and decide what should be cleansed, archived, merged, or excluded. Trial migrations are valuable because they expose assumptions about identifiers, relationships, and volume before the final cutover.
Reconciliation should be designed in advance. Counts, totals, representative records, and business reports can prove that the target system reflects the intended state.
Historical detail should be migrated selectively. Teams often assume that every legacy field and transaction must move, but inactive data can increase load, complicate validation, and preserve obsolete business rules. Define retention, reporting, audit, and operational needs before deciding what belongs in the live environment versus an archive.
Cutover planning should identify a freeze window, final extract, reconciliation owners, go/no-go criteria, communication, and rollback. A technically successful import can still fail the business if users begin work before opening balances, assignments, or security have been verified.
Certinia environments may integrate with CRM, payroll, ERP, banking, expense, tax, data warehouse, identity, or other services. Every integration should define the system of record, trigger, data mapping, authentication, error path, retry behavior, monitoring, and support owner.
Idempotency matters where transactions can be retried. A temporary timeout should not create duplicate invoices or duplicate project records. Integration logs should expose enough context to diagnose errors without revealing secrets or sensitive data.
When an integration changes, regression testing should include both technical connectivity and business outcomes. A successful API response does not prove that downstream financial or project logic remains correct.
Cloud applications evolve regularly. Certinia publishes new capabilities and fixes that can affect configuration, interfaces, reports, integrations, and customizations. Administrators should review release notes, evaluate impact, test in a nonproduction environment, coordinate with stakeholders, and document required changes.
Custom automation deserves particular scrutiny. A Salesforce flow or Apex customization may depend on a field or behavior that changes in a new release. The more the organization deviates from standard configuration, the more regression testing it needs.
Change records should identify owner, reason, scope, testing, deployment, rollback, and validation. This makes troubleshooting easier when a problem appears after a release.
Sandbox strategy supports safe change. Development, testing, training, and release rehearsals should use environments that contain enough representative configuration and data to expose problems without creating unnecessary sensitive-data copies. Refresh timing and masking may be part of the operational process.
After deployment, verify business outcomes rather than only checking that the package installed. Confirm permissions, automation, reports, integrations, and a representative project lifecycle. Post-release validation should be part of the change record.
Sysadmin certification should reflect operational discipline.
The PSA Sysadmin exam is most useful when candidates already administer a realistic environment. Study access, resource management, project setup, time, utilization, configuration, reporting, troubleshooting, and release administration through actual scenarios.
Build support runbooks for common incidents: user cannot access a project, time cannot be entered, utilization is wrong, resource appears unavailable, billing data is missing, or an integration failed. For each, define what evidence to gather before making changes.
Operational expertise is visible when the administrator can fix the problem without creating a new one elsewhere.
Prepare around a complete services lifecycle.
Certinia certification should validate the ability to operate a business system, not simply recognize screens. The strongest practitioner understands how platform configuration, services operations, finance, security, data, and change management combine to support profitable and controlled service delivery.
For exam practice, build a scenario notebook instead of a feature list. Each scenario should state the user role, business objective, configuration involved, expected result, and likely troubleshooting evidence. This format makes it easier to reason through questions that combine several Certinia features. Certinia preparation is more concrete when project setup, resource assignment, time capture, billing, forecasting, and financial outcomes are traced through the same professional-services scenario.
