Microsoft AB-900: Governing Copilot and Agents in Microsoft 365

The Microsoft AB-900 Copilot and Agent Administration Fundamentals exam gives IT professionals a foundational view of the Microsoft 365 environment that supports Copilot and agents. It covers core Microsoft 365 objects, identity and security, data protection and governance, and basic administration of Copilot and agent experiences. Microsoft positions the credential at beginner level, but the subject is broader than a simple introduction to generative AI.

The exam is especially useful because it connects new AI capabilities to the tenant controls administrators already depend on: users and groups, licenses, SharePoint sites, Teams, Exchange objects, Microsoft Entra ID, Microsoft Purview, Defender, audit information, and administrative portals. Candidates who understand those relationships are less likely to treat Copilot as a separate system with separate rules.

Microsoft has announced that the English AB-900 blueprint will update on October 14, 2026. As of October 1, the certification page still describes the same three major areas—Microsoft 365 objects and security, data protection and governance, and basic Copilot/agent administration—but candidates scheduled after October 14 should review the revised study guide before the exam.

Microsoft 365 objects are the foundation of the AI experience

Users, groups, mailboxes, sites, libraries, teams, channels, and licenses define who can work where and which services are available. AB-900 expects candidates to recognize these objects and know which administrative surface is appropriate for common tasks. The goal is not deep specialization in every workload; it is understanding the tenant as a connected environment.

A license assignment can enable a capability. Group membership can grant access to a site or team. A SharePoint permission can determine whether Copilot can ground a response in a document. A mailbox or Teams policy can affect collaboration behavior. Those dependencies are why AI administration begins with ordinary Microsoft 365 administration.

The Microsoft 365 admin center provides useful context for tenant-level navigation, while specialized portals handle deeper configuration for identity, security, compliance, Exchange, SharePoint, and Teams.

Identity answers who the user is and what the user may do

Microsoft Entra ID is central to AB-900 because Copilot and agents inherit user identity and organizational access. Candidates should understand authentication, authorization, single sign-on, multifactor authentication, Conditional Access, users, groups, enterprise applications, app registrations, and the purpose of privileged access controls.

Authentication proves identity; authorization determines access. Confusing those concepts leads to weak designs. A user can successfully sign in and still be correctly denied access to a sensitive resource. Conditional Access adds context to that decision by evaluating signals such as risk, device state, location, application, and authentication strength.

The practical role of Conditional Access in Microsoft Entra ID is worth understanding because AI does not create a new identity universe. The same access controls that protect organizational data must continue to operate when users reach that data through Copilot or an agent.

Zero Trust remains relevant when the interface becomes conversational

AB-900 includes core Microsoft 365 security principles, and Zero Trust provides a useful mental model: verify explicitly, use least privilege, and assume breach. Natural-language interfaces can make access feel frictionless, but they should not weaken the underlying controls.

Least privilege matters for both people and applications. Users should have access required for their work, not broad access accumulated over years. Administrative roles should be scoped carefully. Agents and connected applications should not receive wider permissions merely because integration is easier that way.

Threat protection also remains essential. Microsoft 365 Defender provides context for how security signals can be correlated across identities, endpoints, email, collaboration, and cloud applications. AI productivity does not replace detection and response; it increases the importance of knowing whether the identity using the AI service can be trusted.

Copilot can expose permission problems that were already present

Microsoft 365 Copilot generally works within the permissions of the signed-in user. That is a powerful safety property, but it also means existing oversharing can become easier to discover. A document that was technically accessible but buried in a large SharePoint environment can become visible through a simple question.

This changes the urgency of permission hygiene. Review site ownership, sharing links, guest access, broad groups, and stale collaboration spaces. The concepts in SharePoint, OneDrive, and Teams external sharing are especially relevant because collaboration often extends beyond organizational boundaries.

AB-900 does not require enterprise architecture depth, but a candidate should understand the principle: Copilot respects the information environment it is given. The adjacent SC-900 Security, Compliance, and Identity Fundamentals exam provides useful grounding in the identity, security, and compliance vocabulary that supports these controls. If access is too broad, AI can make the consequence easier to observe. Governance should improve the source permissions rather than relying on users to avoid asking sensitive questions.

Purview controls address different stages of the data lifecycle

Microsoft Purview brings together capabilities for information protection, data loss prevention, retention, insider risk, communication compliance, eDiscovery, and data-security posture. AB-900 candidates should know the purpose of these controls and be able to match a control to a scenario.

A sensitivity label can classify and protect content. DLP can detect sensitive information and restrict risky sharing or actions. Retention determines how long information must be kept or when it can be deleted. eDiscovery supports search and investigation. These are related governance tools, but they are not interchangeable.

AI introduces new reasons to apply these controls consistently. A Copilot response may combine information from several permitted sources, while an agent may automate work across applications. The DLP model in Microsoft Teams illustrates how protection can follow data into collaboration rather than depending only on user judgment.

Copilot licensing and pay-as-you-go models affect administration

Administrators need to understand how Copilot access is enabled and how different commercial models affect deployment. Per-user licensing is one path; pay-as-you-go options can support other scenarios, including agent usage. The fundamental skill is to connect the licensing model to who should have access and how usage will be monitored.

Assigning access without an adoption plan can waste spend, while restricting access too aggressively can prevent teams from learning. A staged rollout can balance those concerns: establish data readiness, deploy to a defined group, monitor usage and support issues, then expand based on evidence.

Usage analytics should answer more than whether someone clicked Copilot. Administrators and business owners need to know whether the service is being adopted, where demand is growing, and whether support or governance issues are appearing. Cost and value discussions are ultimately business decisions, but administrators provide much of the operational evidence.

Agents add a lifecycle that administrators must be able to see

That lifecycle needs ownership as well as configuration. Administrators should know who created an agent, what data and tools it can reach, who is allowed to use it, and who is responsible for reviewing it when policies or business processes change. Orphaned agents can become a governance problem even when they were safe at the time they were first published.

Agents can be built for specialized tasks and connected to organizational knowledge or actions. AB-900 expects a basic understanding of agent creation, user access, approval, monitoring, usage, operational insights, and lifecycle administration. Even at fundamentals level, ownership is a recurring theme.

An agent should have a clear owner, purpose, audience, data boundary, and retirement path. The risk of unmanaged agents is not only security. An abandoned agent may contain stale instructions, point to old knowledge, consume budget, or give users false confidence because it still appears available.

The associate-level AB-650 Microsoft 365 and AI Services Administrator exam goes deeper into operating these services across an enterprise. Candidates who later move into broad tenant administration will also encounter the deeper Microsoft 365 administration scope represented by MS-102. AB-900 is the right place to understand the objects and administrative logic before moving into that larger responsibility.

Basic troubleshooting begins with the right control plane

Troubleshooting should also preserve evidence. When a user reports that Copilot cannot find information, an agent behaves differently than expected, or a feature is unavailable, record the affected identity, workload, time, license state, policy state, and reproducible steps before changing configuration. That makes it possible to distinguish an isolated user problem from a tenant-wide policy or service issue.

Administrators should avoid solving access problems by granting broad permissions simply to make an AI response work. The correct fix may involve content ownership, group membership, sensitivity policy, search visibility, or agent configuration. A troubleshooting shortcut that weakens the tenant can create a much larger governance problem later.

When a user cannot access a feature, the problem may be licensing, identity, policy, service health, permissions, or application configuration. A good administrator avoids changing settings randomly. Start by identifying what should be true, then inspect the control plane responsible for that condition.

If sign-in fails, review authentication and Conditional Access signals. If Copilot cannot reach a document, verify the user’s underlying permission and the content location. If an agent is unavailable, check assignment and approval. If information is being blocked, inspect the relevant protection policy rather than weakening security globally.

Audit logs and administrative reports provide evidence. Learning which portal contains the needed evidence is more valuable than memorizing every menu location because Microsoft 365 administration evolves while the troubleshooting logic remains stable.

Prepare with one small tenant model in mind

Imagine a company with employees, contractors, several SharePoint sites, Teams workspaces, sensitive finance files, and a plan to enable Copilot. Walk through users and groups, license assignment, MFA, Conditional Access, site permissions, guest sharing, sensitivity labels, DLP, agent access, and usage monitoring. That scenario connects most AB-900 objectives without reducing them to isolated facts.

Then introduce common failures: a user has a license but cannot access Copilot, an external guest can see too much, a sensitive file appears in a response because permissions are overly broad, or an agent has no active owner. Identify which administrative surface and control should be checked first.

AB-900 is a fundamentals exam, but the fundamentals are operationally important. The credential asks whether you understand how Microsoft 365 identity, data, security, and administrative objects support an AI-enabled workplace. Candidates who see Copilot and agents as extensions of the existing tenant—not exceptions to it—will have the strongest foundation.
